The Challenge: Mobilising a Large Mining Workforce Under Tight Timeframes
Large-scale mining projects don’t just require skilled workers. They require those workers to be medically cleared, compliant and ready to mobilise – often within very tight timeframes.
The Lake Cowal Gold Mine expansion has created significant demand for skilled workers from across Australia, with recruiters, contractors and mining companies working to fill roles across the operation.
For Medicals Australia, this presented a familiar but complex workforce mobilisation challenge: how do you coordinate hundreds of pre-employment medicals and health surveillance assessments across different locations while candidates are working around FIFO rosters, remote work, shutdowns, leave and family commitments?
Since January, Medicals Australia has coordinated nearly 1,000 pre-employment medicals and health surveillance assessments supporting recruiters, contractors and mining companies involved with the Lake Cowal operation.
The workforce has included operators, tradespeople, technical specialists, supervisors and management personnel.
The objective throughout has been straightforward:
Get candidates medically cleared and site-ready as efficiently as possible, without compromising the quality or compliance of the assessment process.
The Problem: Mining Recruitment Doesn’t Always Happen on a 9-to-5 Schedule
A mining workforce doesn’t necessarily operate around convenient appointment times.
Candidates may be working FIFO rosters, completing remote swings, participating in shutdowns or travelling between work locations. Others may only have a limited window during their days off or annual leave to complete their medical requirements.
For recruiters, this creates a significant logistical challenge.
Waiting for the “perfect” appointment window isn’t always an option when a project needs workers mobilised quickly.
At the same time, simply booking the first available medical isn’t necessarily the answer.
Candidates may require additional testing, including pathology, chest X-rays, radiology or other health surveillance assessments. If these components are identified late in the process, the medical clearance can be delayed—even when the candidate is otherwise ready to start.
The challenge was therefore bigger than simply finding medical appointments.
The solution needed to coordinate the entire assessment pathway around the realities of mining recruitment.
The Solution: A Proactive Approach to Mining Medicals
Medicals Australia’s approach has been to look for opportunities to complete medical requirements before they become a mobilisation bottleneck.
Rather than waiting until a candidate is available for a medical appointment and then organising the additional requirements, our team has worked proactively to identify what can be completed in advance.
A key part of this has been arranging pathology and radiology referrals well ahead of medical appointments.
This has enabled candidates to complete important components such as:
- Blood tests
- Chest X-rays
- Specialist imaging
- Other required pathology and radiology
before attending their medical assessment.
By having these results available when the medical is conducted, the assessment can progress more efficiently, reducing unnecessary waiting periods and supporting faster medical sign-off.
For recruiters, this can make a significant difference.
Instead of a candidate completing one appointment, waiting for results, being referred for another test and then waiting again for final clearance, the process can be coordinated as a connected pathway.
Working Around FIFO Rosters and Candidate Availability
One of the most important lessons from the Lake Cowal project has been that candidate availability needs to be part of the medical strategy.
Our team has worked closely with candidates to identify opportunities to complete their requirements while they are:
- On break from FIFO work
- Between swings
- On leave
- Back in their home location
- Available between other work commitments
This flexibility has allowed medical requirements to be completed without unnecessarily compromising mobilisation timeframes.
For recruiters, this means the medical process can work around the candidate rather than becoming another obstacle in an already complex recruitment journey.
National Clinic Coverage Supporting Regional Mining Projects
Although the Lake Cowal project has a strong focus on regional New South Wales, the candidates supporting the operation are located across Australia.
This is where Medicals Australia’s national clinic network becomes particularly valuable.
Rather than requiring every candidate to travel to a single location, our team has coordinated assessments across Australia, identifying suitable clinic locations based on candidate location, assessment requirements and availability.
This national coverage has helped reduce unnecessary candidate travel while giving recruiters greater flexibility when managing a geographically dispersed workforce.
It also means that a candidate doesn’t necessarily have to wait until they return to a particular location before beginning the medical process.
The right assessment can often be coordinated closer to where they are.
The People Behind the Process
Technology, systems and clinic networks are important—but large-scale medical mobilisation ultimately depends on people.
A special acknowledgement must go to the Medicals Australia Bookings and Compliance Teams, who have worked behind the scenes to coordinate the enormous number of moving parts involved in this project.
Every completed medical represents significant work across:
- Booking coordination
- Candidate communication
- Referral management
- Results tracking
- Compliance review
- Clinic liaison
- Pathology coordination
- Radiology coordination
- Medical sign-off
The teams have worked tirelessly, including late into the evening when required, to secure appointments, issue referrals, chase outstanding results, complete compliance checks and return completed medicals as quickly as possible.
This level of coordination is what allows a large-scale workforce mobilisation program to operate smoothly.
The Result: Nearly 1,000 Mining Medical Assessments Coordinated
Since January, Medicals Australia has coordinated nearly 1,000 pre-employment medicals and health surveillance assessments supporting the Lake Cowal expansion workforce.
The result isn’t simply a number of completed medicals.
It’s thousands of individual steps coordinated across candidates, recruiters, clinics, radiology providers, pathology providers and healthcare professionals to help skilled workers move closer to site mobilisation.
The project demonstrates the value of combining:
Proactive planning + national clinic coverage + responsive communication + strong compliance processes.
When these elements work together, complex mining medical requirements become much easier to manage.
What This Means for Mining Recruiters and Employers
For recruiters and mining employers, the lesson is clear.
A pre-employment medical should not be viewed as an isolated appointment at the end of the recruitment process.
It is part of the workforce mobilisation pathway.
The earlier medical requirements are understood, the sooner referrals can be arranged, appointments secured and potential issues identified.
And when candidates are spread across Australia, access to a national network can provide the flexibility needed to keep the process moving.
At Medicals Australia, our role is to take as much of that coordination burden away from recruiters as possible.
We understand that every delay can have consequences for workforce availability, project timelines and recruitment outcomes.
That’s why we focus on delivering fast, responsive and compliant mining medical coordination, backed by extensive national coverage and a team that understands the realities of workforce mobilisation.
Supporting the Next Stage of Mining Workforce Mobilisation
The Lake Cowal expansion is a great example of what can be achieved when medical coordination is approached proactively and collaboratively.
We are proud to have supported the recruiters, contractors, mining companies, candidates, clinics, pathology providers, radiology partners and healthcare professionals involved in the project.
And we’re equally proud of the Medicals Australia teams working behind the scenes to make it happen.
Because when critical workers need to get to site, the medical process shouldn’t be what holds the project up.
